In May we wrote about AI intake as the first responder for plaintiff firms: answer the call, qualify the matter, capture structured facts, and start the file before a competitor picks up. That work still matters. What changed is the job description.
The inbound layer is no longer an intake specialist that only knows one practice area. As of September, AutoCounsel’s AI intake agent is a full receptionist. It answers the firm’s line, figures out who the caller needs, routes or conferences the right person, and still runs a complete intake when the call is a new matter.
Firms do not run one kind of call. The same number gets a current client asking for an update, a vendor looking for accounts payable, a referring attorney, and a new PI, employment, or immigration inquiry. A bot that can only take a first-party accident report loses the rest of those calls. A receptionist that can only transfer them loses the new matters. The agent now does both.
A working receptionist, not a message taker
Reception is hours, holidays, a staff directory, and a live decision about what happens next. The agent knows who is in, who is out, and who owns which practice. It greets in the firm’s name and voice. It can take a detailed message when no one is available. It can put a caller through when someone is.
Every call still ends in a record. If the caller is a new matter, that record is an intake. If the caller needs a person, that record is a briefing: who called, why, what was already asked, and who should pick up. Staff are not reconstructing the conversation from voicemail.

Three-way calling and call routing
Call routing is the difference between a hold queue and a working front desk. The agent classifies the call, matches it to a person or a queue, and moves it. A PI intake stays in intake. A client looking for their paralegal goes to that paralegal. An after-hours emergency follows the firm’s escalation rules, not a generic mailbox.
Three-way calling lets the agent stay on the line. It can brief the attorney or intake specialist before they speak, then conference the caller in. The handoff is live. The person who joins already knows the name, the practice area, and why the call came in. When nobody answers, the agent stays with the caller, takes the message, and writes it to the right matter or inbox.
Routing is configured by the firm: staff directory, hours, practice-area ownership, overflow, and who gets a warm transfer versus a summary. The agent does not invent a second set of rules. It follows the ones the firm already uses.

When the call is a new matter, the agent still runs a complete intake. That means qualification against the firm’s criteria, structured facts, deadlines, and a next step, not a name and a callback number.
Personal injury: accident details, injury, treatment, insurance, at-fault party, and statute windows. Employment: relationship, adverse action, protected activity, employer, and filing windows. Immigration: status, entry history, family, prior filings, and time-sensitive court or filing dates. And more: the same receptionist can take the call, classify it, and start the file for other matters the firm accepts, using the checklists the firm provides.
Weak or off-scope calls are screened out instead of filling the pipeline. Qualified matters can get a consult on the calendar and a retainer by text or email before the caller hangs up. The summary, the transcript, and the matter land on the native CRM. Litify, Salesforce, Clio, and more stay in place when that is already the file.
What the desk sees
